A “resignation” occurs when an employee voluntarily informs HR or their manager that they will stop working for our company. Voluntary separations happen occasionally, and we want to ensure that we appropriately handle them and maintain a smoothly-running workplace. We advise employees to follow this procedure:
- Talk to their managers in person to alert them to the possibility of resigning
- Discuss any issues that may exist that could be resolved
- Send a formal email to their manager and HR
- Consult with HR to discuss details and outstanding wages and benefits
Notice Period and Relieving
- When an employee chooses to resign, the manager will make an attempt to understand the reasons and identify means to retain the person (by solving any issues, if possible). In case, there is no possibility of retaining the person the exit process will be initiated.
- All voluntary resignations must be submitted via email. Employees are required to serve a notice period of 2 months upon initiation of the exit process.
- During the notice period, it is essential that necessary project related information is transferred to another designated team member under the supervision of the presiding manager. The employee should also play an active role in onboarding and training their replacement.
- For efficiency’s sake, and to maintain smooth operations, leaves cannot be availed during the notice period. In case an employee is absent or a leave is inevitable, the notice period will be extended by the number of leaves taken.
- If an employee does not serve the entire notice period, the shortfall will be recovered from their expense settlement, unless management agrees otherwise
Exit Interview & Process
On receiving a formal letter of resignation HR will conduct an Exit Interview on the last day. As a general rule, exit interviews are held with intent to improve our company. An employee is encouraged to share their opinions on our processes, practices, people, and culture during the exit interview.
The exit interview will also facilitate the process of returning all company assets such as PCs, laptops, mobile phones, security passes, company cards, etc.
Since we are working remotely so the HR will schedule a courier to get the office property delivered to their address.
As a process, HR also coordinates with various owners to complete the exit of the resigning employee from various systems and accounts.
Payments and Expense Settlement
Employees will receive pay for every day they worked for our company. The notice period will cover 2 salary cycles, and for the 1st month of the notice period, the employee will receive their salary on the 10th of the following month.
Any expenses that have to be reimbursed will also be taken into account if bills and approvals are provided on or before the last working day. Accrued leaves, pay in lieu of notice, etc will also be considered.
Once HR hands over necessary details to Accounts, the final settlement will be processed after one month from the date of leaving.
