Onboarding Process

Employee onboarding is a series of activities that allow new hires to get to know their team and learn about the company’s mission, vision, values, methods, rituals, and tools. This program is an opportunity for an employee to get used to a new environment. For WisdmLabs, it’s a valuable time to share all of the elements that will help new team members be successful as they learn more about the company & their role in the company.

We have crafted our onboarding program by considering the two dimensions of remote onboarding in mind, namely Organizational Onboarding and Social Onboarding.

Below-mentioned is the flow of the onboarding process:-

  • Once the new hire accepts our offer the HR team starts preparing for their onboarding.
  • After accepting the offer the new hires are asked to submit their documents required for the onboarding process.
  • The joining date is decided after consulting with the Training Team and the Reporting Manager.
  • Once the joining date has been confirmed an email is sent to the new hire about his onboarding process.
  • This email contains the onboarding date, time, and Google Meet link. It also contains brief points about the activities planned for the onboarding process.
  • Before the joining date, the HR team keeps the offer letter, email ID, hardware allotment, KEKA account, and any other logistical requirement ready for the new hire onboarding.
  • The HR team also shares a Google sheet with the Team Managers to schedule the new hires’ introduction call with them. Calendar invites are shared as per the date and timing mentioned in the sheet by the team managers. 
  • The respective department head is required to keep ready the first batch of emails to be sent to the new employee, pertaining to the training preparation and other relevant links required for the training process.
  • On the joining date, HR welcomes the new hire on a Google Meet video call.
  • The HR sends the official offer letter to the new hire on their official email ID. The new hire goes through the offer, signs it, and shares it with the HR, indicating their acceptance of the offer.
  • Then the new hire completes the joining formalities which include filling out the joining form and getting original documents verified.
  • Post which they are asked to share their details required for the welcome note.
  • The welcome note details are then edited by the HR and forwarded to the Design Team to create the welcome note.
  • In the meantime, HR explains new hires everything about the company, which includes the company’s mission, vision, values, policies, organizational hierarchy, tools used for communication, etc.
  • Once the new hire understands all the important policies, they are sent a policy acceptance form which they are supposed to sign and share it back with the HR.
  • Post which the new hires are instructed to update their KEKA account and go through the dashboard in detail.
  • In the meantime, HR adds the new hire to Whatsapp Groups, sends a company-wide introduction mail about the new hire, posts about the new recruitment on LinkedIn, and starts the process for setting up a new salary account for the new hire.
  • Once that is done the HR team introduces the new hire with the management, the training manager, their buddy and the team managers.
  • These calls continue for one or two days based on the schedule mentioned by the team managers in the Google sheet. Team members are also required to add the new member to the email groups and aliases of the team. For instance, if a new hire were to join the marketing team, he/she would need to be added to [email protected], [email protected], and so on.  
  • The Training Manager has a detailed discussion about the candidate’s parameters of performance in the interview and those on the basis of which they will be judged after training, in the probation period. The Manager then shares the training schedule with the new hire and the training begins from the 2nd day onwards.
